3RVS club meeting minutes for February 6, 2014

Below, are the monthly 3RVS club meeting minutes:

February 6, 2014

-Meeting call to order & greetings. 7:30 PM
-Reading of minutes meeting of January 2, 2014. Motion to approve Jane second by Patrick.

-Patrick welcomed special guest David Coar from Summit City Bicycles. David presented club members with the new discount point system to be replacing the present percentage discount. Starting March 1st 2014 Summit will offer 5% of all purchases in the form of points. The points collect on all sales including bikes, repairs, equipment, clothing, sale items and fitness equipment. Points accumulate and spend as follows. Earned Sept-Nov must be spent Jan-Feb *earned Dec-Feb must be spent April-May *earned March-May must be spent July-Aug *earned June-Aug must be spent Oct-Nov. Points would be e-mailed to the club member. Member must supply store with e-mail address at time of purchase. This discount will be offered to only paid members of 3RVS. Questions and clarification of system followed presentation.

-Treasurers report by Patrick. For January we had 2 debits and 1 credit. The club continues to receive revenue from membership renewal.  January expenditures were minimal.

-Touring report from Steve by Patrick. Steve is working with 2 members forming a group of riders in the 10 to 14 mph pace. The group would be flexible yet still utilize the same route as faster groups on the weekend rides.  Steve will report further once plans are confirmed and personnel are committed.

-Off Road reported by Phil. Phil offered members present a DVD copy of the Chilly Challenge ride. Phil is working with parks department to reroute a trail at Franke Park. The reroute is behind schedule due to change in personnel in the parks department. Phil expects to soon be back on track with project.  Off-roaders at present are cross country skiing due to weather conditions. Phil presented the club with a program aimed at High school MTB riders. National Interscholastic Cycling Association or NICA is a nationwide program that provides leadership and governance of local leagues to produce quality mountain bike events and supports every student-athlete in the development of strong body, strong mind and strong character through their efforts on the bike. A club member is interested in forming –promoting the group. Phil asked if the club would be interested in supporting this group. After discussion Patrick asked if an NICA member would collect data and present to the club with facts and findings before moving forward with support acceptance. Members present agreed with Patrick to entertain a presentation by member.

-Newsletter reported by Kathy. Kathy has changed the format with the newsletter for ease in use and presentation. Kathy would like information for newsletters by the 15th of the month and no later than the 18th to assure sending out in a timely manner.

**Kathy and Jane have been working on membership cards. The cards will have members name and activation date. Cards will be sent by e-mail to members. These will be needed for discounts at local bike shops. Kathy will send out an alert to remind members to renew their dues.
-Membership reported by Jane. 58 family memberships and 76 single memberships -134 memberships with a total of 192 members. For members signing up on line the registration qualifies as their signature for the release waver.
-Publicity reported by Wendy. Working with Kathy to improve and update 3RVS brochure. Cost and quantity were discussed. The best value was printing of 1000 at $264.89 once the final designed is approved by officers. The Festival ride has been listed with Bicycle Indiana.

-Webmaster Report:  1) updated Forum with latest security update.  2) Removed two spam accounts from the Forum membership. The number of these has slowed down lately, but still require periodic checks to remove bogus accounts and posts.  3) Provided a link to Gary Painter at the 2013 World Time Trial Championships in Italy. I don't remember seeing this anywhere, so I added the story to the website. It would be nice to see more racing and other stories on the website. The last racing story before this was in 2011!!!  4) Renewed the Private Registration add-on for the website. It costs $41.97 for three years. What this does is hide the domain registration information that anyone online can see by using Whois.
-Additional items of interest. Patrick is on the board with Fort 4 Fitness. The organizers continue to make strides to improve the event. The largest concern by attendees was cost. The board is working to drastically reduce the cost. The goal is to increase ridership in all levels of the event. Fort 4 Fitness will partnership with Arts United, IPFW, Downtown Improvement District (DID), Fort Wayne Trails, and City of Fort Wayne to make this year and future events a ride to remember. 

-Overnight Ride/Camp is being proposed by Jim Reilly. Jim led a ride to Pokagan State Park last year with great success. This year’s proposal is to a park-camp at Ouabache State Park in Bluffton with a shorter distance and to encourage more riders to the event. Jim asked for support from different levels of the club. During the July 3, 2013 meeting officers approved providing funds to reserve camp sites. All funds were repaid through rider fees for those participating. Members voted for and passed Jim’s proposal. The date is set for August 23rd & 24thth.  Jim will follow up with more details during riding season.

-Trail Care Crew In sponsored by Subaru. Diana Carranza (NITRO) provided the information on this event coming April 24th to the 27th.  A full schedule of events to include meeting with the land management. Assessment of the target project. Training and hands on trail building-improvement project with a group ride the last day of the event. Diana asked for help and support from the club.

-Three Rivers Festival Tour will be directed by Luis DeVeyra. Luis has been working to line up all aspects of this event. Patrick, officers, and members present expressed their appreciation for Luis continued efforts and success in the quality of this event.
-Good to Order. There are tentative plans to invite area bike shops to March meeting to show new products. Details should appear in March newsletter.
