Club Meeting Minutes for January 8 2015

**(Due to weather guests were running late, proceeded with business while waiting.)
Patrick, Meeting called to order. First order of business:  election of officers. Officers will remain the same as above with exception of racing. Joe Bartels has accepted the position of racing director.  A special thank you to Jerry and Kathy for their efforts and responsibilities for Tuesday night racing and club racing news for 2014.

- Minutes presented for meeting of November 6 2014. Motion to accept minutes Patrick, second by Wendy. Vote carried minutes accepted.

- Treasurers report by Hugh. Explained debits and credits. Totals include Franke project $1,302.82, Jerseys -$1063.90 Jersey Bins -$0.00.   Debts include end of year party, registration of club name with Secretary of State.  Also, jersey bins distributed at party.  Phil submitted costs incurred for the Christmas Lights Ride and map print copies for the Chilly Challenge.  Credits include membership dues.

**Patrick welcomes Ronald McDonald House representatives Lisa Pacula and Dan Grotrian.
Guests presented club members with news of the second annual RMHC Ride for 2015. The first year was expected to attract 75 riders; however, the 2014 event had 195 riders that contributed $23,000.00 to RMHC. Lisa explained what was happening with the House and the impact this event has made. This year, the ride will be Sunday, April 26th, 1pm at Kreager Park.  Lisa and Dan requested that 1) 3RVS make RMHC an “official” ride on the 3RVS touring calendar, 2) 3RVS help with route planning and implementation, 3) provide Bike Ambassadors for the ride and 4) promote the ride on the homepage of the club’s website. 

Because of 3RVS involvement, Lisa made a special offer to club officers to consider concerning sponsorship. The offer included 3RVS advertised on t-shirts, website, promotional emails and Facebook. Additionally, all volunteer ambassadors ride free. The price of this offer was $1,000.   Officers discussed this and expressed concern over the size of sponsorship donation which may be unacceptable to club members.  A tabled November 2014 club meeting discussion concerning a donation to cover the ambassador’s entry fee was entertained. A motion was made by Patrick to make a donation of $500 to RMHC in lieu of Lisa’s sponsorship offer.  The motion was accepted by club members present.  Patrick expressed the clubs appreciation in being asked for our input and for Lisa and Dan’s efforts in putting on a cycling event in our community.

The following 3RVS officers are participating on the committee for the 2015 RMHC ride:
Wendy Vierya, Kathy Boling, & Steve Pequignot.  Patrick expressed gratitude for these officers continued support of bicycle events for the Fort Wayne area.

- Touring report by Steve. Steve had some of the touring awards that were not picked up at the party and wanted to assure distribution.  Touring will start in April on the Sunday after Easter. Opening Day ride leaders are lined up for the B group. Steve reports 3 of the 5 pace groups are covered.  Steve is looking to have a range of 10 to 20+ MPH groups to assure coverage of all levels of riders.

- Off-Road report by Phil. Trails went from too muddy to too cold for riding. Phil suggested visit to website for ride/ski guidelines. The Christmas Light ride attracted about 42 riders, one of the largest turnouts ever.

- Newsletter report by Kathy. Please continue to submit events and articles by the 18th of each month for consideration in the following month issue.  She will put out a small February newsletter and a full newsletter in March.

- Membership report by Jane.   December and early January are busy times with new and renewal memberships.   Forty-four members signed up at the end of year party.  At this date, the membership count is fluid with renewals.  Also, Kathy stated that the Active.com membership application for 3RVS was not working in early January.  She contacted Active.com and the site for membership is now working.

- Publicity report by Wendy.  A-frame message board coming together, but not yet ready for purchase.  Wendy submitted Festival tour and Chilly Challenge 2016 to Bike Rides Indiana.  Festival ride pricing will remain same as 2014.
- Racing report to follow next month.

Additional items of interest
- Donation to Aldersgate Church for end of year party.  Amount was discussed and Patrick made a motion to accept $150.  Vote carried.
- Chilly Challenge wrap up. Attendance total was 128; temperature was 32 degrees at start with a 20 mph wind.   Ride expenditure= $206.74; donations= $125; total cost= $131.74.

Chilly Challenge is looking for a new director for the 2016 ride to continue. Contact any officer if a member wishes to volunteer. Guide lines will be offered to help new director.

- Purchase of clothing and cycle caps was discussed.  Due to time limitation, these items were tabled to February’s meeting to allow proper discussion.
