Club Meeting Minutes for January 7th 2016

Meeting called to order 7:30 by Patrick. Welcome extended to guest, members, and officers. Introduction of officers and members to new member Ryan Bauer and special speaker Robin Mitchel.  Club members John Grabowski and Scott Tomsits were also in attendance.

-Minutes presented for meeting of November 5, 2015. Motion to accept minutes Steve, second by Patrick. Vote carried minutes accepted.

-Election of officers for 2016. With no nominees on record, 2015 officers have accepted continuing service for the club. Patrick extended appreciation to officers for their continued leadership.

*Kathy has decided 2016 will be her last year as newsletter officer. Patrick thanked Kathy for her 25 years of service as club officer. Patrick invited members to consider serving as newsletter editor and step up now so they may learn from Kathy.

-Robin Mitchel presented an idea of developing an android App that members could use to stay in touch.  It could be used to advise of pop-up rides, road hazards/conditions, map updates/changes.  Robin advised how the App could be designed and possibilities of where it could continue to grow.  Discussion with members included maintenance of App and how it could complement the outstanding website we already have.  Patrick purposed a simple start with touring information and build as use continues to grow.  Patrick invited Robin to discuss with Mike and coordinate ideas.  Robin will return to the next meeting with follow up information.  The app would only be available to club members.

-Treasures report by Hugh and presented by Patrick.  Debits include Indiana Business Entity fee, End of Year party, and EOY party member awards.  Deposits include membership dues and donations by guests at EOY party.  Kathy will provide an account of clothing that remains on hand and to provide resale value.  Shipping cost and discounts provided to members at resale will be written off to provide a more accurate accounting of goods on hand.

-Touring report by Steve.  Opening day ride is scheduled for Sunday April 3rd at 12:00 noon.  In an effort to add new adventure to the special event, Steve is looking into new routes.  Steve provided 3 options including route CHS3 with 25/45 miles, KRG3 with 17/25/45 miles and NHS5 with 18/43 miles.  Members discussed the options and added other possibilities.  Steve will reconsider and report findings at next meeting.  The 2016 season will see a reduction in pace groups.  Steve could not find a leader for the 12/13 MPH group.  Riders are always invited and encouraged for all pace groups.  Steve shared an idea to recognizing members that have reached or surpassed 100,000 miles.  Ideas were shared, Patrick suggested compiling a list of members that have already reached this milestone and commemorate these members. then add to the list as members surpass the 100,000 mile post.  Steve to revisit at the February meeting.

-Off Road report by Phil.  Winter season is the Ski/Ride time.  With no snow at this time, focus is on riding trails.  Phil reported trails to be in good condition.  Saturday will be work/ride day at Franke. Storms and wind have dropped many limbs that need cleared from trail.

-Newsletter report by Kathy.  Expect next issue soon.

-Membership report by Jane.  Jane collected many memberships at the EOY party.  Total of 110 include 62 family and 48 individual members.  2015 year ended with a total of 320 members.

-Publicity report by Mona.  Mona’s report centered on the 2016 Chilly Challenge.  Registered rider count was 127 including the in-line skate group that joins each year.  Mona reintroduced the Chili cook-off once again for the Challenge.  Members provided 14 pots of chili.  Judge’s rated the best entries and first place went to Robin Mitchel, second place to Rudy Schmidtke, and a third place tie between John Grabowski and Krista Stockman.  Phil reported the route which is always a Challenge went well except for some flooding on trails and detours from closed roads.

Racing report by Joe.  Joe is making plans to introduce new racers to pace groups and riding etiquette. Through Joe’s commitment the racing group is once again on the increase.  Joe is looking at a new course that will start at the church at Cook and O’Day roads.  Joe is putting plans together for more training and reintroduce a club race.  More information to follow.

-Webmaster.  Mike submit a short report to Patrick that included the need to purchase new support software for the website.

-Additional items of interest. Patrick along with the treasures report shared a wrap up for the EOY party.  Members expressed appreciation for the new venue at Sweetwater Sound.  The catered menu was a hit and the cost was competitive with previous years.  Agenda item:  Group Riding Guidelines was tabled to February meeting due to time.
