March 3, 2016

-Meeting called to order 7:30 by Patrick.

-Minutes presented for meeting of February 4, 2016. Reviewed corrections to January minutes. Patrick requested any corrections to the February minutes. With no corrections motion to accept minutes Steve P. second by Mona vote carried minutes accepted.

-Patrick welcomed Angie Quinn from Trek the Trails. Presented the club with the mission of Trek the Trails.  Rides of 14 miles are scheduled each Tuesday May thru October from different areas of the city.  Showed members t-shirt design with club logo and explained the different donation levels.  Donations are used for promotional purposes, rides are free.  Kick off ride to be May 10th at Salomon Farms Dupont Road.  Patrick made a motion to continue support of event with a $500.00 donation.  Mona second, vote carried.  Hugh present check to Angie.
 
-Dan Grotrian Ronald McDonald House Charities touring ride April 24th 2016 e-mailed his regrets he could not attend the meeting.  Steve Pequignot, as spokesperson, provided an overview of RMHC request to the club.  Discussion followed between members.  Patrick divided the request into 4 parts and asked for votes by members present.  First to designate the ride as an official club ride along with an alternative offering for members not wishing to attend the RMHC ride, majority approved.  Second list on Facebook page, majority approved.  Third list on website, majority approved.  Fourth, provide $500 donation to support RMHC ride, majority disapproved. Patrick to present results to Dan.

-Treasurers report by Hugh.  Reported on upcoming expenses for March.  February deposits include membership dues and clothing sales.  Debits include improved mapping software for road maps, Chilly Challenge supplies, and storage unit rental (7 months) to 10/2016

-Touring report by Steve. Steve shared rides for the 2016 season.
* Monday 5:45pm recovery ride will be from Riverside Gardens Leo, Indiana with leaders Dan Grotrian & Denny Zech
* Tuesday ride from Kreager park 6:00pm with leader Deb Watts, Randy Armstrong
* Wednesday Saturn rides 5:30pm and 6:00pm with leader Patrick Stelte and Doug Myers
* Wed/Thur Jefferson MS 6:00pm Steve Pequignot - To begin in late May/early June
* Thursday Roanoke park 6:00pm Girls Ride Out with leader Brenda Wiley
* City Tour - 1st Friday on month at Lawton Park 6:30pm with leader Amy Copeland, Jim Reilly
* Carroll Rides on Tuesdays and Thursday suspended until ride leader(s) found

Announced a new site for Opening Day Ride, Sunday, April 3rd 2016 12:00 pm.  This year’s ride will offer 4 different ride options and opportunity to adjust ride for wind issues from Woodland H.S.

Of note per e-mail to club president:  Pastor Kenny Speakman of Fairview Church 5511 Yoder at Smith roads has offered use of port-a-pot and water for riders passing the church property.  Fairview also offered the club use of a pavilion on site for future events.

-Off Road report by Phil.  Phil requested a donation to Heart of the City Bicycles, a group that offers bicycle repairs to low income riders; for many, bicycles are the only transportation.  Phil volunteer’s each week and reports donations are appreciated.  Steve Souers recommended donating $300.00 now with additional $200.00 later in season.  Motion to donate $300.00 by Patrick, second by Mona vote carried.  Donation to be divided 50/50 with Fort Wayne Outfitters and Summit City.
Phil reported Franke trails continue to be muddy.

-News Letter report by Kathy. News worthy information needs to be turned in before the 18th of each month to be considered in the upcoming/next issue.

-Membership report by Jane.  Membership cards are being sent.  Jane thanked Steve for his help with the cards.  Membership total is 193, break down of 90 family and 103 individuals.  Welcome 18 new members.

-Publicity report by Mona. Working to distribute brochures with Visit Fort Wayne. She will contact local newspapers to promote club rides.

-Racing report for Joe from Kathy.  Time Trials begin Wednesday, April 20th using old US-24 at IN-101.  Pricing is being considered at $1 per club member, $5 per non-member.  She will ask for donation to Antwerp Police for their help with racers.

-Web Master report by Mike.  Added National Bike Challenge to website.  He will list online registration for Three Rivers Festival ride with fees provided from meeting.

*Hugh to register ride as an official 3RF event and pay the $100.00 entry fee.  Reserve Hickory school for ride start/end point and reserve pavilion at Churubusco.
*Mike Heyes to list on website and set up on line registration.
*Phil to scope out route and mark prior to event.
*Jane to provide leadership for sign-in registration at Hickory School.
*Patrick to confirm with Mike Sienk as leader of Churubusco SAG.
Members present discussed ride registration fee.  Motion to raise fee $5 with the reason being the fee has not been raised in years and most rides today are a minimum $30.  Motion passed by members.  New pricing:  Preregistration before June 24th is $15.00 for members and $20.00 for nonmembers.  After June 24th:  registration is $20.00 for members and $25.00 for nonmembers.
T-shirt cost will be $15.00.  Design style and color to be determined.
 
Group Riding Guidelines discussion continued from January & February meetings.  Patrick, Steve Souers and Steve Pequignot explained these are guidelines as a representation of how 3RVS has conducted rides for many years.  Steve did extensive research with other clubs that had rules for their members.  Last year, 3RVS welcomed 90 new members and Patrick discerned that a printed guide of how 3RVS rides would be helpful for new riders to understand the club and know what to expect.  Patrick, Steve Pequignot and Steve Souers presented an outline for members to discuss. Included in the guidelines were rules that must be followed:  Must wear a helmet; no earbuds or auditory devices; and aero bar use restricted to the front of the group or in back without drafting.

All guidelines flowed from a common sense perspective with notes on Indiana state law.  Also, included are helpful information in the event of a crash.  The information was reviewed and many ideas were shared between members. Patrick, Steve S. and Steve P. will fine tune and condense so guidelines with the goal of printing the guidelines on the back of weekend touring maps on club rides.

Steve P amended guideline notes to include bar-end extenders because grips do not have brake levers which can be dangerous due to slow brake reaction time.   Group ride guidelines to be finalized and approved by officers before Sunday, April 3rd.  The guidelines will be posted on the club website in April with more explanatory detail.
