MEETING MINUTES

May 5th 2016

-Meeting called to order 7:30PM by Patrick, welcome extended to club members Russ Stephens and Scott Tomsits in attendance.

-Reviewed meeting minutes of April 7th, 2016, call for correction, or addition. Mona asked for a correction under the Publicity report concerning website “Cycle” Like a Girl reported as “Ride” like a Girl. Phil made a motion to accept minutes as corrected and presented Patrick second, vote carried.

-Treasurers report by Hugh.  April debits include print supplies to Steve P. for touring maps. Deposits include membership dues.  Discussed the need to verify the Jersey account as the total balance listed includes shipping and full cost of purchase. Patrick mentioned a way to retire past jersey balance to reflect current clothing debit from last order.  No determination was voted upon.  Club members that purchase clothing receive a discount as a perk of being a member.  The actual value amount is less than listed amount.

-Touring report by Steve. Touring weekend ride times are 11:00am for May and 10:00am for June.  He shared details on a new route leaving Sweetwater Sound.  He is working on an additional new route that would travel to Payne Ohio.  The start location was still under consideration at the time of meeting.  He said some members were experiencing issues with reporting data with the National Bike Challenge.  Mike was able to share his thoughts concerning the problems.  The NBC website has transitioned to new administration software and is confident the problems will be resolved in a couple of weeks.  The club was listed a first in the state and 3rd nationally in the Challenge at time of meeting.

-Off-Road report by Phil. Trail riding at Franke Park has been good when dry.  He reported trail maintenance by the Nitro group has been going well.  He reported some club members are doing their part as trail users by clearing debris.  Fort Wayne Outfitter race team members are organizing weekly time trials for all who inquire.

-Newsletter/Clothing report by Kathy.  She thanked Mike for his help with the newsletter in her absence.  Jane and Steve are helping to keep membership role up to date for news and information.  Kathy wants to assure bike shop sponsors are receiving member update also.

-Membership report by Jane. Jane has welcomed 34 new members to the club in the past month. Total for this meeting are 128 family and 144 individuals for a total of 272.

-Publicity report by Mona.  She reported the club information and history has been added to the web site Cycle Like a Girl.  She purposed the club participating in Huntington Heritage Cycle days with an information booth and promote our Festival Tour.  Also, offer Gatorade refreshment at table.  She purposed donating $100.00 as our good faith donation for booth space and contribute to prize money.  Patrick made a motion to accept Mona’s proposals pending her assurance of volunteers to staff, vote carried with members present.  For the purpose of passing along the history of the club she asked for clarification of founding members.  The 3 founding members of Three Rivers Velo Sport:  Hector Garcia, Dave Kerns, and Eli Arnold.
 
-Racing report for Joe by Kathy.  Time trials US424 at Indiana 101 to Antwerp and back are going well.  There are 3 categories in both women and men racing divisions.  42 participated in the April event.  She asked riders to be aware and share the road with those who may not welcome bicycles on the roadway.  Joe has been giving weekly updates on Tuesday Night World Championships on the club’s Facebook page.
 
-Web Master report by Mike.  Website security was good for the month.  Mike refreshed photos on home page.

Additional items of interest.
Discussed renewing and refreshing Club Brochures used at bicycle events and area information kiosks.  Last order was for 2500, amount this order will be discussed.  Steve handed out samples of existing brochures members shared thoughts on updates and deleting old information.  Patrick asked for 2 additional members to help him with final up grades.  Steve Pequignot and Scott Tomsits volunteered.  They will report changes at May’s club meeting.

Patrick presented a power point of the Club Constitution and Bylaws. Many informal changes have been made over the years by club officers; however they are not official because it has not been presented to the membership for a final vote.  Many hours were committed to reading discussing and amending the document.  The goal is to post constitution on the website for all members to view after notice in the June newsletter.  Discussion of the document will occur to members present at the July meeting then voted upon by all members present at the conclusion of the meeting.  Patrick explained how the revision history retains the original entries that were removed, added or changed.

Steve presented the 2016 Three Rivers Festival Tour brochure for final approval. The changes were discussed and approved.  3RVS water bottles will replace t-shirts as the tour give-a-way for early registration and those who sign up for club membership day of the tour. Water bottles will be sold day of the tour for $5.  Cost and number of bottles to purchase will be determined through officer e-mails.
