MEETING MINUTES

June 2, 2016

-Meeting called to order 7:30PM. By Patrick welcome extended to club members Amy Copeland, Christina Wade, Russ Stephens and Scott Tomsits in attendance.
-Reviewed meeting minutes of May 5th 2016, call for correction, or addition. Joe made a motion to accept minutes as presented Mona second, vote carried.

-Treasurers report.  Hugh was called away at the last minute and could not attend the meeting.  June balance to be reviewed at next meeting.

-Touring report by Steve. Touring time is set for 10:00 for June.  He asked for input from members for start time for July.  Some were early riders others like extra sleep on weekend.  The best time in the middle was 9:00 am.  He will check with his ride leaders and members and to consider August start time. Continue work on updating club brochure.  He Plan photo shoot with riders on Sunday the 5th for brochure photo.  The planned new route from Sweetwater Sound was moved to Arcola due to a special event at Sweetwater.  Riders will still enjoy the improved route.  He explained the different groups for this ride and thanked Mike for updating the website.  He made a suggestion to list ride schedule on just the 3RVS website rather than in the Newsletter and website.  This would make it easier to make adjustments if issues arise such as road work / closings.  With no objections, the ride calendar will be posted on 3RVS website only starting in July.

-Off Road report by Phil.  June 11th He will coordinate club group to help Nitro with trail maintenance at Franke.  Trail riding has improved over last month as the trail has dried out.
 
-Newsletter. Kathy has resigned as newsletter editor effective June 1st.  Kathy served as editor for 25 years as well as on many other offices and committees.  Joe reported after a discussion with Kathy she will continue her involvement with the race time trials each month.  Mike will help with the Newsletter for July.  Patrick ask members to consider serving in this office.

-Membership report by Jane.  Jane has welcomed 45 new members to the club this year.  136 family 153 individuals for total of 289 Members.  Joe asked Jane for a copy of members to assure time trial participants are members as outlined in club rules.

-Publicity report by Mona.  She will call on Visit Fort Wayne to refill brochures if needed.  Patrick asked if she would include Festival brochures.  Also will ask if they would include the club website link on their site so visitors have easier access to 3RVS.  Patrick thanked Christina Wade for volunteering to serve in the information booth at the Heritage Cycle Days event June 18th.  Mona will follow up with West Bend News of Antwerp and ask the editor to post or report on the clubs time trials.  Mona wanted to inform residents of the club event and to expect riders on the road.

-Race report by Joe.  Average attendance of riders from the Flaugh Road start location has been at 20 each week.  He reported keeping the same start location seems to appeal to the different riders. He likes to talk up the race rides when with other riders to let people know what opportunities are available in the club.  He also encouraged other ride leaders to post weekly updates on Facebook of their ride.  He reported May time trials had 36 participants.

-Webmaster report by Mike. No report for this month. Patrick commented on the outstanding work Mike has done with the website updating and improving.

-Additional items of interest.
Three Rivers Festival Tour.  Jane coordinator for registration will have the key for the school will need the check.  Volunteers are needed to help with registration.  Phil as route master reports the course will remain much the same as last year. He will mark the route just before the event in hope of avoiding any road repair that would cover the markings.  He is returning the Red Loop to the 2014 route now that road repairs are done.  Steve will lead the roving sag drivers.  He would like as many drivers possible to assure all hours are covered and so everyone may ride the tour also.  Pre tour ride set for Saturday, July 9th.   Participants will ride to Churubusco to assure all loops are acceptable for the tour.  Patrick will once again contact Mike Cienk to assure he has any questions or requirements.  Mike will need SAG VOLUNTEERS for Churubusco.  Hugh has secured the tour as an official event with Three Rivers Festival with a $100.00 entry fee.  The event also has been insured with the club policy.  Mike Heyes has the tour listed on the website along with the link for pre-registration.  Patrick had 150 brochures printed to advertise the tour. Cost was $113.00 and was the lowest cost available. 

Patrick discussed the water bottles to be given free to pre-registered riders and volunteers. The bottles will have a 3RVS logo and the club website listed and a logo for Summit City Bicycles.  Summit will purchase 250 and donate the 21 oz. bottles for the ride.  Bottles can be purchased for $5 on the day of the Tour.  Jane voiced her opinion that only the 3RVS logo should be on the bottle and the club should be buying the bottles.  Steve expressed gratitude to Summit for their support in fulfilling the clubs vision of promoting cycling.

-Fort 4 Fitness had 1306 riders this year - a record.  280 of the riders rode the metric century.

-Good of the order. Joe purposed a Bike at Night ride that would use the greenway trails to avoid the using the roadway.  A tentatively scheduled date of Saturday, July 23rd @ 9pm or 10pm.  The route would be 12 to 15 miles and start and end southwest.  If the ride is a success, Joe suggested that a future, expanded event would be a good fund-raiser for the club.  Joe and Steve will work on the best route.
