1. Call to Order
Meeting called to order 7:30PM by Patrick. Introductions and welcome extended to all in attendance including Jennifer Altherr, Jack Campbell, Phil Snyder, and new club member Douglas Long.

2. Festival Tour Update:
•   Final preparations coming together
•   SAG arrangements made, supplies from storage gathered (Susan Hunt)
•   Final volunteers for registration, roving SAG & mass start finalized
•   Route has been marked, one short portion moved to Hwy 9 to avoid bad road
•   Amy will handle all Square transactions at registration

3. Officer Reports:

Secretary - John Grabowski: passing of June meeting minutes

President’s Report - Discussion of 3RVS cyclocross practice

Treasurer - Hugh Smith:  Revenue includes membership dues and clothing, as well as racing sponsorships.  The club receives 15% of any race sponsorship.  No expenditures for the month.

Touring - Steve Pequignot:
•   July touring rides begin at 9 am, plans are for August to continue 9 am start time.
•   Hicksville Century Tour follow-up:  Saturday, August 27th.  Phil will inquire the locale hospital about partnership with their charity ride (per 2016.)
•   National Bike Challenge (NBC) update - 3RVS currently in 3rd place nationally for the month of July, and the smallest team in the top 5 (128 members.)  3RVS is currently 4th overall in NBC.


Publicity - Mona Will:
•   Sidebar - Mona’s Monday Morning “Meanderings and Musings Ride” for beginning female cyclists.  The ride is every Monday at 9am from July 10th - end of August with rotating locations at a 10-12 mph pace over 5 to 8 miles.  She is partnering with Summit Bicycles to offer a structured ride to beginning female riders and promote organized cycling.  Steve offered to make this event a club ride.  Mona decided to think about the offer and will respond through officer e-mails.

Off Road - Randy Rozewicz:
•   Big thank you for 3RVS support
•   Participation is up
•   Upcoming off-road out-of-town events

4. Additional Items of Interest

Johnny Grabowski - proposing the possibility of having a sports photographer present at 1 designated club touring ride to photograph club members on their bikes and scenic action shots while riding (not unlike professional photos taken at some out of town ride events). The idea would be that the club would arrange for the photographer (or hire them for a fee if necessary) so that club members would be entitled to the photos at either no charge (or greatly reduced charge). This would also provide the club with additional photos for marketing purposes.

It was proposed that we first approach Luis DeVeyra before exploring other options.

President’s Report - Patrick Stelte: Highlighted recent articles in the Journal Gazette about Gary Painter and Heart of the City Bicycles.

Treasurer - Hugh Smith:  Expenditures included insurance for Festival Tour; revenue includes membership dues and clothing.

Touring - Steve Pequignot:
•   June touring rides begin at 10 am
•   June 17th touring ride is Jammin’ in Roanoke (paid event)
•   3RVS apparel now available for purchase at weekend tours, with new credit card   payment option, cash or check
•   National Bike Challenge (NBC) update - 3RVS currently in 5th place nationally, 117 team members at the end of May.
•   Festival Tour update - Steve is working on securing (5) Tour Ambassadors for 8 am mass start, also looking for 3-4 SAG drivers
•   Discussion of Kreager ride accident (5/30) / ride leadership / group rider safety / incident report

Publicity - Mona Will:
•   Journal Gazette article on Brenda Wiley about bike-packing
•   Cyclofemme recap - very successful (74 participants) compared to last year

Off Road - Randy Rozewicz:
•   Monday night rides are going very well and participation is up
•   Franke trails have been closed due to a very rainy May
•   When trails have been closed, Randy is teaching a skills lab in the parking lot

Newsletter - Scott Tomsits:
•   June newsletter proof has been distributed and revisions are in process

Membership - Amy Copeland
•   307 total, 167 individual and 140 family
•   26 members added in May

Racing - Joe Bartels
•   Sponsorship check given to club treasurer, clothing deposit requested
•   3RVS Racing Team formal proposal:  Moved, seconded, and passed.

Webmaster - Mike Heyes
•   The change in the domain registrar is complete, same company that hosts the website
•   Three security upgrades to website software: version 3.7.2 Joomla
•   Added race information page; Dave McComb will add race results link
•   MTB page is dormant until new information is added by MTB officer
•   The Forum software will be updated with no noticeable change
•   The Festival Tour brochure will be added when it is complete
•   The clothing page needs updated


5. Additional Items of Interest
•   Jennifer Altherr - proposed club purchase of platform-style hitch-mount 4-bike rack to help facilitate destination rides. Club members discussed proposal and offered a counter proposal of borrowing bike rakes from club members in attendance.  This was met with approval.

1.  Call to Order

Meeting called to order 7:30pm by Patrick. Introductions and welcome extended to all in attendance including Jack Campbell, Phil Snider, Jennifer Altherr, Dave McComb, Pam and Tim Fennel, Doug Wintin, Andy Grote

2.  Jammin’ in Roanoke Charity Ride:  Presentation by Doug Wintin
•   The event is Saturday, June 17th @ 9:30am from Spokesmen Bike Shop on Main St. in downtown Roanoke.  Three distances of 20, 40 and 60 miles.  The registration fee is $30 with a $5 discount for 3RVS club members.  Also included:  a free jar of jam; photo of rider at top of Maplegrove Hill; Joseph Decuis post ride meal, as well as a full SAG for longer routes.  Doug asked 3RVS to make the ride an official weekend club ride, post a notice on the club’s website and use the club’s Facebook page to promote the ride.  After discussion, all club members in attendance voted approval.

•   The April 2017 minutes were approved by all club members present.

President’s Report - Patrick Stelte:
•   The End of Year Party will be Friday, December 8th from 6pm to 8:30pm at Sweetwater Sound Conference Hall
•   Spokesmen Bicycle in Roanoke with have a special 3RVS open house on Friday, June 2nd from 6pm to 8pm
•   Club member Tania Glass was recognized for her volunteer efforts with safety lights for school kids with an article in the Journal-Gazette

Treasurer - Hugh Smith: 
•   Deposits from membership dues and clothing sales; expenditures included Festival Tour flyers, Cyclofemme donation, IMBA, Bike League and 3RVS Festival registration, website hosting registration, 3RVS Time Trial marker painting and 6 month storage rental fee.
Touring - Steve Pequignot: 
•   New ride leader pace group dates for weekend touring will be posted on 3RVS Facebook page the week of the weekend tour.  This transition allows for more flexibility by ride leaders to set their schedule.

Publicity - Mona Will:
•   Bike Fusion is Friday, May 5th at Turnstone from 5pm to 9pm.
•   Ladies Night Out at Summit Bicycles will be Thursday, May 11th starting @ 4pm
•   Cyclofemme, May 14th @ 2pm at Rockhill Park
•   Dave McComb requested that weekend rides be posted in Friday’s Journal-Gazette “Happenings” section

Off Road - Randy Rozewicz
•   The first Weekly Franke Park organized ride was a big success: 25 participants
•   Randy suggested some kind of general physical assessment training for club members to assist accident victims on club rides.  Andy Grote offered assistance.  Randy and Andy will work together to make it happen.

Newsletter - Scott Tomsits
•   Scott sent out the May newsletter with the old pdf. format at the request of club members.

Membership - Amy Copeland
•   280 total with 12 family and 154 individuals
•   NBC began May 1st and 86 club members where signed up as of May 4th.

Racing - Joe Bartels
•   With Joe being absent, Dave McComb gave an update on the proposed 3RVS race team. 
He continues to work on the design of the race kit.  The Rider Agreement documentation is done.
•   Tuesday Night World Championships began April 19th

Webmaster - Mike Heyes, No Report

4. Additional Items of Interest:
•   The Square:  Club members present agreed the club should buy the $49 Square with the added feature of a chip reader device.  Hugh recommended that the Square should stay with the club member who will have monetary transactions, i.e., Steve Pequignot and Mona Will (clothing purchase).  The sales charge is 2.75% of each purchase.
•   Festival Tour Update:  Mike Sienk will not be in charge of the Festival Tour SAG this year as he has a prior engagement.  The club is looking for volunteers to step up to help.  Patrick suggested offering to pay someone to run the SAG if no club member can be found.  Members present were in approval.

5.  Good of the Order:

•   Scott Tomsits has lined up a possible vendor for the 50th Anniversary jersey – Cuore.  He will be get samples for the committee.

1. Call to Order

2. Cyclofemme:  Presentation by Jade Kelsey, Bicycle Friendly Fort Wayne
•   The event is Sunday, May 14th @ 2pm from the Rockhill Park pavilion.  Three distances of 7, 17 and 42 miles.  One full SAG at the Aboite Township Trustee Office (fire station).  Ride is open to all ages and genders.  The ride is free.  Jade requested 3RVS to have ride information on our website; provide (2) 3RVS coolers; and (2) Bike Ambassadors that Mona will organize.  All club members present approvedthe request.

3.  Ronald McDonald House Charity (RMHC):  presentation by Dan Grotrian
•   The 4th annual RMHC ride is Sunday, April 30th @ 1pm at Kreager Park.  Fee is $35 which covers one night stay at the charity house.  The course includes 9, 16, 25, 45 and 65 miles.  Early registrants receive free t-shirt.  A sweepstakes giveaway will be held to give away (2) bicycles provided by Summit Bicycles and Fort Wayne Outfitters.  Free food will be provided at the start and finish.  Dan requested 3RVS to have ride information on our website; by the official ride on our weekend touring schedule and be allowed to promote the ride on 3RVS Facebook.  All club members present approved the request.

•   The March 2017 minutes were approved by all club members present.

President’s Report - Patrick Stelte:
•   Festival Tour flyers are printed and ready for use.

Treasurer - Hugh Smith: 
•   Deposits from membership dues and clothing sales; expenditures included Trek the Trails sponsorship and Bike Fusion participation.

Touring - Steve Pequignot: 
•   No “E” group ride leader has been found for weekend tours.  Meeting attendee, Phil Snider, offered to be a ride leader when he is able later in the spring.  He offered to have a regularly scheduled greenway ride.  Steve asked Randy to provide leadership oversite as this proposal is technically off-road.  Randy agreed.
•   73 participants on the April 2nd Welcome Ride
•   May weekend tours start @ 11am
•   Life360 has been tested and approved by Steve and will be used on weekend touring rides.  It will track riders’ location through smart phone technology and is available to all club members – contact Steve:  touring@3rvs.com
•   National Bike Challenge begins May 1st.  All participants’ activities will be tracked through Strava.  There will be no team (size) divisions this year.  Team 3RVS is open to all club members.  To join the team:  membership@3rvs.com

•   Senior Life article promoting Mona’s 3RVS activities was published in March
•   Boomer Time article about Patrick’s 3RVS activities will be published in April through Fort Wayne Newspapers
•   Ladies Night Out at Summit Bicycles will be Thursday, May 11th starting @ 4pm
•   Bike Fusion is Friday, May 5th at Turnstone from 5pm to 9pm.

Off Road - Randy Rozewicz
•   Weekly Franke Park organized rides will begin Monday, April 24 @ 6:30pm.  Three groups will be offered with ride leaders.

Newsletter - Scott Tomsits
•   Scott is working on a pdf. version of the newsletter.  An inquiry e-mail was sent by a club member requesting the ability to print and read the newsletter.

Membership - Amy Copeland
•   234 total as of March 16th, 112 family, 120 individuals.

Racing - Joe Bartels
•   Joe and Dave McComb proposed a 3RVS Race Team.  The Team 3RVS mission statement goal is to promote all disciplines of competitive cycling, offer support to all ages and abilities with a sense of teamwork, competitive spirit and a strong sense of community.  The opportunity for growth and development of competitive ability for all members of the team as they strive to better themselves and represent Team 3RVS Bike Club and the sport of cycling in a positive manner to the community.
•   Joe will have the authority and be responsibility to organize and conduct the development of the team in keeping with the club and team mission statement. 
•   The team would be composed of two levels:  Tier 1 would require club membership, sign a code of conduct/racer agreement and purchase of team race kit (Dave is showed preliminary design at meeting); Tier 2 would have Tier 1 requirements plus the purchase of a USA Cycling license listing Team 3RVS as club; Tier 2 racers would be eligible for race expense reimbursement per conditions to be determined.
•   The website would have a race team tab and promote team sponsors.  Dave has secured commitments for sponsorship at the time of the meeting.
•   Monies received for the team would be split in the following manner:  85% will be marked for allocation to Team 3RVS only; 15% will be distributed to the club for administrative fees.  The monies from sponsors will be available to the 3RVS Race Director (Joe) and used without a vote by club members.  The race director’s handling of monies will be overseen by the club’s officers through a monthly report. 

Club members present voted approval of Team 3RVS proposal.

•   Tuesday Night World Championships:  Joe has secured commitments for ride leaders.
•   Joe reported Ice Cream Night Ride with Trek the Trails is going forward.
 
Webmaster - Mike Heyes
•   Mike’s e-mail report as follows:  changing the domain registrar for 3RVS due to rising costs from NetworkSolutions to HostingMatters; finishing Calendar project for 3RVS Facebook this will allow for website calendar info to be downloaded to phone.

1. Call to Order
Meeting called to order 7:30PM by Patrick. Introductions and welcome extended to all in attendance including Tim Ellsworth, Brad Smith, Jennifer Altherr, Pam and Tim Fennell, Jack Campbell and Angie Quinn.

2. Angie Quinn Community Engagement Manager for Fort Wayne Trails
Trek the Trails - 6-10 mile weekly ride Tuesday nights on Fort Wayne Trails including safety training (attendance last year 80-100 riders on average). Seeking annual sponsorship. Patrick moved to sponsor at $500 (same level as last 3 years). Members voted for $500 level sponsorship.  Joe offered a partnership with Trek the Trails to include a Sunset Ride with 3RVS during a summer Saturday evening.  3RVS would provide the ice cream.  Angie was favorable to the idea and will speak to the Trek the Trails organizers about the event.

3. Officer Reports:

Secretary - John Grabowski: Joe asked for an amendment to the February minutes to include Tuesday Night World Championships at 6pm meeting at Suburban Bethlehem Church on Flaugh Rd.  The amendment was passed, as well as the February meeting minutes

President’s Report - Patrick Stelte:
•   Bike Fusion event and creative partnering with NITRO to utilize one booth space under 3RVS. Randy to come to the April meeting with an answer.
•   Open Streets 2017 planned by the City of Fort Wayne will be held on Sunday, July 9th from 11am to 3pm downtown.  Two miles of city streets will be closed to people to walk and ride.  Other events are offered as well.  Amy Hartzog brought this to 3RVS attention and said this should not conflict with the ridership of the Festival Tour.

Treasurer - Hugh Smith:  Deposits from membership dues.  No expenditures.  Franke Park account balance remains the same.

Touring - Steve Pequignot:  Steve could not attend, but sent his report via e-mail. 
•   Touring season opens Sunday, April @ 12pm, from Woodlan H.S.  Distance options with ride leaders will 20/41/51 miles.  A course reverse option is available for windy condition.
•   Weekend ride leaders for A, B and C groups have been secured:  Steve and Patrick for A Group; Johnny Grabowski and Amy Copeland (B Group); Mona Will and Tom Yoder (C Group).  D & E Group ride leaders are being considered at this time and will update next month.
•   Weeknight ride and ride leaders are as follows:  Monday, Riverside Garden Park, Leo 5:45pm start with Dan Grotrian and Denny Zech - pace of 18-20+ mph; Monday, Roanoke, Spokesman Bike Shop 6pm with ride leaders Andy Grote and Doug Wintin - pace of 16-19 mph; Tuesday, Kreager Park 6pm with ride leaders Rick Pegg and Deb Watts - pace of 13-15 mph; Wednesday, Saturn Chruch 6pm with Patrick Stelte - pace 20+ mph; Thursday, Girls Ride Out, Roanoke Park with Brenda Wiley - pace 14-15mph; Thursday, Skills Tour, Jefferson Middle School 6pm with Steve Pequignot - pace 18-20 mph; First Friday City Tour, Lawton Park trailhead 6:30pm with Amy Copeland and Jennifer Altherr - pace 10-12 mph

Starting dates for weeknight rides will be posted on the 3RVS website

Publicity - Mona Will:
•   3RVS flyers have been distributed to major Fort Wayne bike shops, and will be distributed to additional locations soon.
•   February 5 Journal Gazette article about 100,000 mile milestone riders
•   Ladies Night Out (May 11th from 4-8pm at Summit Bicycle) - seeking volunteers to staff a table
•   Cyclofemme - 2nd annual Mother’s Day ride held by Bicycle-Friendly Fort Wayne. Mona looking into 3RVS support in terms of promoting and supporting the ride, along with $50 donation. The spirit of this ride is in support of female riders - it is not limited to female riders and all riders are encouraged to participate.  Starting at Rockhill Park at 2pm with three ride options.  Motion to donate $50 was passed by meeting attendees.  Ride details will be posted on 3RVS website.

•   Patrick asked whether the club should pursue a credit card payment device or not, and members agreed that we should.   Scott was concerned about the fee rate charge and volunteered to research other vendors / devices for better rate.  All attending members agreed that a credit card charge device is needed by the club and we should proceed with the issue.  Discussion will be continued at April’s meeting.

Festival Tour update
•   Patrick moved for Festival Tour pricing to remain the same as 2016, which was passed by members in attendance.

1. Call to Order
Meeting called to order 7:30PM by Patrick. Introductions and welcome extended to all in attendance including Dave McComb, Tania Glass, Jennifer Altherr, Russell Stephens, and Jack Campbell, Tim and Pamela Fennell.  All officers were present.

2. Election of Vice-President
Patrick called for nominations for the position of Vice president.  Hugh Smith nominated Steve Pequignot, who graciously accepted the nomination.  There were no other nominations.  The officers unanimously voted and elected Steve Pequignot as club Vice President.

Secretary - John Grabowski: January 2017 club meeting minutes were passed without revision.

Treasurer - Hugh Smith: Expenditures for awards for retiring officers and Chilly Challenge supplies.  Revenue from membership dues and Chilly Challenge donations and merchandise sales.  Hugh also contact Churubusco and Hickory M.S. to reserve sites for Festival Tour.

Weeknight Rides tentative schedule:
 Monday - Leo ride (5:30pm & 5:45pm) A & B group and new Roanoke (6pm) ride led by Andy Grote (16-19 mph / 27-30 miles)
Tuesday - Kreager Ride led by Deb Watts (14-15 mph / 25-35 miles)
Monthly 3RVS Time Trial moved from Wednesday to Tuesday.  Registration at 6pm, start at 6:30pm.  Dates will be posted on the website and Facebook.
 Wednesday - Saturn ride led by Patrick Stelte, fast pace 20+ mph
 Thursday - Skills Ride led by Steve Pequignot (moved from Tuesday)
 - Girls Ride Out (women only) in Roanoke, 6pm (15-16 mph / 25 miles)
 Friday - City Tour led by Amy Copeland, 6:30pm at Lawton Park trail-head (1st Friday of every month)
 * Carroll Ride on Thursday nights is currently unconfirmed.

Weekend Tours - A, B, C pace groups confirmed. D, E unconfirmed, Steve is seeking suggestions / volunteers for consideration as ride leaders for D and E groups. John Grabowski is also interested in establishing a co-ride leader for the B group.

Amy Copeland introduced the idea of monthly “Destination Rides” which would basically be pre-planned and pre-approved club sponsored out-of-town rides. Amy and Jennifer Altherr would be ride leaders and planners.  Club members present voted in favor of looking into this further.

Steve is negotiating with the Hicksville 100 organizers who want it to be an official 3RVS event.  The event is scheduled for Saturday, August 26th.  The 2016 event replaced the club’s Labor Day Century Tour.

Off Road - Randy Rozewicz
Randy is planning the 2017 off-road schedule
 Monday – NITRO Cruiser Intermediate & Speeders - NCIS (2 – 2.5 hours, 3 pace groups)
 Wednesday – NITRO Social Ride (NSR)
 Thursday - Urban Exploring
 Saturdays – Franke Park maintenance (monthly), also, a possible 2-hour off-road training classes taught by Randy for a fee.

Newsletter - Scott Tomsits
February newsletter was emailed to 269 members, and will soon be posted on the website.  Scott shared analytics associated with the newsletter software and distribution.

Membership - Amy Copeland
151 total memberships (80 family memberships, 71 individual memberships). Of these, 31 were new to the club in January.

Publicity - Mona Will
Review of items found in storage locker. Water bottles (Railroad insignia) to be donated, 2015 Festival Tour t-shirts to be sold for $1 each. Caution tape and race netting will be returned to storage.  Current club kit apparel photos and pricing is posted on the website so club members know what is available.  Mona submitted official Chilly Challenge Report (noted last month.)

Racing - Joe Bartels (accepted the position of Race Director for 2017 at the beginning of meeting.  Joe was absent at January’s meeting)
Joe introduced club member Dave McComb, who is working on developing a Wednesday Cyclocross Practice Ride (Franke Park) which would take place during cyclocross season, mid/late-July through December.  This would be a club sponsored event.  Dave will coordinate with Joe and Randy.

Webmaster - Mike Heyes
Mike is adding pdf versions of old club newsletters to the website, and is hoping that, with other veteran club members’ help, that he will be able to locate copies of all old newsletters.

5. Additional Items of Interest:

Square (credit care billing) demonstration - Steve showed the club the Square Point of Sale app and reviewed the 3 different card reader options, which range in price from a free magnetic stripe reader to a $69 magnetic and chip reader that also facilitates Apple Pay and Samsung Pay. There is a transaction fee of 2.75% per purchase (to be confirmed by Steve).  The presentation ran short on time, so further discussion was postponed to the March meeting.  The purpose of such a device would expand payment options for club purchases.

50th Anniversary Jersey - In 2018, 3RVS will begin its 50th year. Patrick wants to offer club members a special limited edition 50th Anniversary 3RVS jersey, primarily gold in color.  Meeting attendees agreed that it was a good idea to form a committee that will work on creating 3 different jersey designs.  Club membership will then vote to choose a favorite.  Jennifer Altherr, Mona Will, Scott Tomsits, and John Grabowski have volunteered to be on the committee.  Jennifer submitted a tentative timeline for having the jersey designed and produced, with the goal of having it available for purchase at the 2017 year-end party.

-Meeting called to order 7:30PM by Patrick.  Introductions and welcome extended to all in attendance including John Grabowski, Brad Smith, Jennifer Altherr, Jack Campbell, Amy Copeland, Jim Reilly, Scott Tomsits, Doug Myers, Tim and Pamela Fennell, Tania Glass, Caitlin Gossman and Randy Rozewicz.

-Election of officers. Patrick nominated the following as officers for the 2017 club season. Patrick Stelte President - Hugh Smith, Treasurer - Steve Pequignot, Touring – Amy Copeland Membership – Scott Tomsits Newsletter - Mona Will, Publicity – (tentative) Joe Bartels, Racing– John Grabowski Secretary.  New club member Caitlin Gossman nominated new club member Randy Rozewicz for Off Road.
Randy told of his qualifications for the office of Off Road director.  He told of his passion for off-road rides and wanted to assure the off road activities continue.  He has ridden with Phil’s group many times and is also a member and officer of NITRO (Northeast Indiana Trail Riding Organization).   Patrick thought the continued communication between 3RVS and NITRO would be positive for both.  Patrick shared club constitutional information regarding election of officers. Joe Bartels was not present at the meeting to accept the nomination of Racing Director. This office will officially remain open until proper processing can be completed.  Patrick asked for volunteers for racing with no response.  With no further discussion and no contested election of offices, the nominated officers were accepted.

-Patrick presented out-going officers with a plaque in appreciation for their service to the club.

- Constitution Amendment Vote.  Patrick read the purposed amendment that was preliminary passed at the November club meeting.  The amendment reads, “With the exception of the office of President and until a Special Election can be conducted, an officer’s vacancy as described in this paragraph may temporarily be filled by appointment of the President.”  Patrick opened the floor for discussion prior to voting. Jim Reilly expressed concerns about incumbency advantages during the official election and offered a solution of a volunteer (non-official) to perform duties. Steve explained the reason for the amendment was to assure the office continue to function until an officer is elected by the membership.  Hugh supported the amendment by noting liability as outlined in the club insurance policy if a non-officially appointed club member performed official tasks (financial).  Patrick asked for a motion to accept the amendment.  Amy made a motion to accept, with a second the amendment passed 16-1, two abstentions (non-members).

-Treasurers report by Hugh.  Expenditures for December include club party supplies, awards, venue rental, Indiana State Business Entity fees and office file supplies.  Revenue included membership dues and member clothing reimbursement.  One item of note:  Because of a printing error on the club jersey order, the manufacturer, Voler, reimbursed the club $500.  The error was not printing National Bike Challenge Champions on the back of the jersey.

-Touring report by Steve.  He highlighted a few key ideas for the 2017 touring rides.  He would like to consider an optional mass start for the Festival Tour as an addition to the usual start times.  He is actively seeking out a “D” group rider leader for 2017 weekend tours.  The higher pace groups remain strong with the help of dedicated ride leaders.  He would like to continue the September Strava Challenge for 2017.  He thanked Steve Souers for leading the Show and Go rides that continue through winter.  He reminded members to check Facebook for weekly details or updates.  He also discussed an interactive app – LIFE 350 – as a way for club members to follow the group if they are late or dropped from a group ride.  Further discussion on the app will continue at future club meetings.

-Off Road report by Randy.  He thanked members for their confidence in his ability to lead the off road office.  He said he has learned a lot while riding as a group with the guidance of Phil and other members.  He plans to continue the format that Phil has set forth.  The important trail work and clean up(s) at Franke will also continue.

-Newsletter no official report.  Continue to submit Newsletter items in a timely manner for consideration.  Mike Heyes will work with Scott to transition the duties of the office.

-Membership report by Jane.  Year-end totals for 2016 were 154 family memberships and 174 individual equaling 328 total.  Of this total, 88 were new to the club.  Amy reported she will continue as Jane has in the past and will see to collecting the club mail from the post office box.

*-Publicity and Chilly Challenge report by Mona.  She thanked her team for stepping up and helping with the Challenge in her absence.  Rough totals were 124 registered riders plus many not registered (est. 50-75) and volunteers.  Revenue included membership dues collected, donations, purchases for 3RVS wear and logo items, and food donations. 18 new memberships were submitted (12 individual and 6 family). 

-Racing, no report.
-Webmaster, no report.

Additional items of interest.
- End of Year Party.  Approximately 105 club members and family attended.  Expenditures were for food, venue, awards, additional supplies and photographer.  Revenue was generated from memberships and clothing purchased at the party.

-Bike Fusion 2017.  Patrick received an invitation for the club to participate in this year’s event. This is a fund raiser for Turnstone and includes vendors, shops and other bicycle related offerings. The different donation options were discussed. 3RVS was invited to have a both to promote the club.  Club members present voted for option B, a 10’ x 10’ space at the May 5th event for $150.  Suggestions were made to consider sharing the booth with another not-for-profit cycling entity to split the cost.

-Festival Tour. Planning has started for this year’s event. Hugh will reserve the buildings. Further planning to continue at February meeting.

-Meeting called to order 7:30PM by Patrick.  Welcome extended to all in attendance including John Grabowski, Scott Tomsits, Jennifer Altherr, Amy Copeland, Jim Reilly, Jack Campbell, and Tim Ellsworth.

-Reviewed minutes for meeting of October 6, 2016.  Patrick noted a corrections from Steve P. to change “National Bicycling Challenge” to “National Bike Challenge.”  Phil made a motion to accept as presented with Steve second vote carried.

Finance Report by Hugh - Revenues included membership dues, clothing purchases.  Expenses include clothing purchase; storage unit rental through April 2017; Festival Tour SAG supplies; Jersey Ride food supplies; Saturn Church donation and new PNC Bank checks.

Touring Report by Steve.  Weekend touring transition to Show N’ Go format with ride leader Steve Souers starting in November and continuing through March 2017.  Year in Review:  opening ride was lowest turnout in recent memory due to cold weather (42); 59 weekend tours with 6 rainouts (4 paid tours:  Festival, Fort 4 Fitness, Club Century, Ronald McDonald House Charity); average weekend ride attendance was 22.81 this was down from last year’s average of 27.36.

Off-Road Report.  Phil contact Alec Johnson from the Parks Department about trail development at Foster Park.  Phil reported they are amiable to the idea without institutional formalization.  Saturday rides will occur if temperature is above 15 degrees and less than 3 “of snow on the ground.  December begins Ride / Ski option dependent on weather.  Location TBD.

Membership Report by Jane.  316 total members in 2016:  146 family; 170 individual with 76 new members for the year.

Publicity by Mona.  The club’s National Bike Challenge success was reported in the Journal Gazette on October 24th.  Mona was successful in getting Andrew Hoffman from NeighborLink to write a cyclocross article in the club’s newsletter, promoting the discipline.  Parks Department advertised the Chilly Challenge in their Winter Fun Times magazine.

Racing Report.  Joe is doing outreach for more involvement with local cyclocross entities and 3RVS.

Webmaster Report.  Mike made two software updates to the club’s website; posted ride leader recognition for 2016; added a slide show; announcement of Chilly Challenge and cyclocross events.  Mike also talked about the possibility of using credit cards for purchasing 3RVS items.  He researched Square.com as an example with benefits of: first card reader is free; direct deposit to account; no start up fees.  However, there is a transaction fee for each purchase.

Additional Items of Interest
-  3RVS clothing purchase.  Kathy report 52 items requested for order from club members.  She made ½ payment to start order and was told the items would be available for Friday, December 2nd’s club party.

-  End of Year Party.  Jane and Mike will send out e-mail invitations.  Patrick is working with Sweetwater on accommodations and food catering.  Jane and Amy Copeland will handle membership renewals and guest fees at the party.  Steve is working with keynote speaker Gary Painter with visuals.  Mona asked to hire a photographer to document the evening’s events and post on 3RVS.com.  She suggested club member Russ Stephens wife Teresa, a professional photographer.  After discussion among members present, a vote was passed to hire Teresa.

- Proposed Club Constitution amendment.  Held from last month.  Steve withdrew previous language and Patrick introduced new language from club member Karen Walker that states the intend of the amendment, “With the exception of the office of President and until a Special Election can be conducted, an officer’s vacancy as described in Section 3.1 Elections, may temporarily be filled by appointment of the President”.  Steve’s reason for the amendment was to provide a vehicle in which an office can be filled quickly to continue needed service to club membership.  Discussion ensued and the amendment passed with one opposing vote.
