MEETING MINUTES
May 3, 2018

1. Call to Order
Meeting called to order 7:30PM by Patrick. Officers present included Hugh Smith, Steve Pequignot, Dave McComb, Pamela Fennell, Amy Copeland, Scott Tomsits, John Grabowski and Patrick Stelte. Not present was Randy Rozewicz. Introductions and welcome extended to all in attendance including Jennifer Smith, Shane Powell, Phil Snider and Doug Wintin

2. Passage of Minutes
Passage of April meeting minutes.

3. Final Vote for Constitution By-Law Amendment 1.7 for Intellectual Property
By-Law language re-read by Patrick and, following open discussion, motion to add to club constitution passed by vote.

4. Jammin’ in Roanoke Presentation by Doug Wintin
3RVS supported last year’s inaugural Jammin’ in Roanoke ride held by Spokesmen Cycling. This year the ride will take place in August (date to be determined) with after ride meal provide by Joseph Decius Farm. The organizers requested that 3RVS make it an official club ride and promote via the 3RVS website and Facebook page. The topic was discussed and passed by vote.

April minutes passed early in the meeting.

Patrick Stelte, President
Patrick spoke to Fire Police City County Federal Credit Union regarding their Kidstravaganza event, where they were hoping to get assistance from 3RVS members to fit 300 kid helmets to be given away on the day of the event - Saturday, June 23rd from 9am to noon.

Hugh Smith, Treasurer
Revenues included memberships, and clothing.  Expenditures included: Fort Wayne Trails annual sponsorship, Cyclofemme sponsorship, clothing, and Festival Tour expenses.

Steve Pequignot, Touring
- RMHC Charity Ride was a success with 250 riders and no SAG services rendered.
- May Weekend Tours will have starting time of 11am.
- Fort 4 Fitness Ride to take place May 19 (official club ride that day)

Dave McComb, Racing
- MTB Time Trials have been approved by the Parks Dept.  First TT on May 8th
- Race Schedule continues to grow, with MTB Time Trial, Baer Field Time Trial, and Road Time Trials.  All race information on 3RVS website

Randy Rozewicz, Off-Road (not present)
- Franke Rides Mondays and Wednesdays at 6:30pm
- Franke Trail maintenance 2nd Saturday of the month from 9am to 11am
- Urban Rides every Thursday at 6pm
- Randy conducted off-road skills class with the Fort Wayne Police Dept. on April 26th

Publicity, Pamela Fennell
- May 10 Ladies Night at Summit City. Pamela requested two 3RVS memberships as door prizes.  Members’ present voted approval
- May 11th:  Visit Fort Wayne Open House

Amy Copeland, Membership
Total Memberships 258, comprised of 128 Family and 130 Individual memberships

Scott Tomsits, Newsletter
May Newsletter was sent out on the 3rd with a wealth of articles this time around

Mike Heyes, Webmaster
- Updated Mona’s Monday and Wednesday ride schedule
- Added three race schedule pages
- Added Mona’s CARE advocacy article and added link to old CARES pages

6. Additional Items of Interest
- Festival Tour Update:  1) 1000 flyers provided as bag stuffers for F4F Spring CycleFest; 2) flyers also handed out at Ladies Night at Summit City and Visit Fort Wayne; 3) Patrick asked for a received approval to hire a SAG coordinator at Churubusco for $100.
- Club Brochures running low - to be updated and new batch printed (200).
- Preliminary research on potential acquisition of new Timing System. Scott Tomsits will continue research

MEETING MINUTES
April 5, 2018

1. Call to Order
Meeting called to order 7:30PM by Patrick. Officers present included Scott Tomsits, Steve Pequignot, Mona Will, Hugh Smith, Randy Rozewicz and John Grabowski - absent:  Dave McComb, Amy Copeland and Mike Heyes. Introductions and welcome extended to all in attendance including Jack Campbell, Kent Ellis, Phil Snider, Jennifer Smith, Shane Powell, Pamela Fennell, Angie Quinn, Jade Kelsey, and new members David Dwight and Rob Brower.

2. Passage of Minutes
Passage of March meeting minutes.

3. Election of Publicity Officer
Available publicity officer position following Mona Will’s resignation was posted in last month’s newsletter per club constitution guidelines. Pamela Fennell was the only club member to express interest and was appointed to the position. All meeting attendees voted in favor.

4. Trek the Trails Sponsorship Presentation - Angie Quinn
Over the last several years, 3RVS has donated to Trek the Trails to support this community cycling organization.  Angie rides Trek the Trails and also rides with 3RVS. Last year she led others in riding an extra Trek the Trails lap. She requested support again this year, with hopes that some would progress to riding in other 3RVS activities.  Motion was passed at sponsorship level of $750.

5. Cyclofemme Request - Jade Kelsey
3rd annual Cyclofemme ride by Bicycle Friendly Fort Wayne to be held Mother’s Day May 13 at Rock Hill Park at 2pm. The ride is free and open to general public, and promotes increasing female cycling ridership.  Jade and co-sponsor Mona Will requested Ride Ambassadors, water jugs, route assistance and $100 sponsorship.  Motion was passed with agreement that 3RVS will be promoted and 3RVS donation jar will be present at the event.

Patrick was informed that the 3RVS storage locker at All-State Storage had minor water damage. At the time of the meeting - he was in the process of getting that taken care of.  Post meeting update:  The storage locker has been inspected and repaired. No material damage was observed.

Balance as of March 28th:  Revenues included memberships, clothing and race sponsorships; Expenditure included Bike League annual dues.

2018 Touring Season kickoff on Sunday April 8 at Woodlan High School at 11:45am

Fort Wayne Journal Gazette article including Jade Kelsey and Patrick Stelte about transportation infrastructure regarding cycling.

Randy Rozewicz, Off-Road
 - NITRO was dissolved March 31st following IMBA business plan changes that required a large monetary fee for membership.  Randy requested that 3RVS become the institutional entity over-seeing off-road interests in the area.  Motion to re-establish 3RVS relationship with Parks Department to maintain Franke trails was passed.
- Off-road ride season starts April 9th (weather permitting)
- Rides & Ride Leaders: Franke Park Mondays & Wednesdays @ 6:30pm (Randy, Rich Swihart, Diana DeCarranza, Martin DeCarranza and Phil Snider ride leaders); Destination Rides:  Brown County, Winona Lake, Mourches Park, Fort Custer, The Dump (ride leaders Amy Copeland, Jennifer Smith and Deb Watts)
- Urban Exploring:  Thursdays at 6pm (ride leaders Phil Snider, Rich Swihart, Randy Rozewicz, Brad Smith and Amy Copeland)
- Off-Road awards to be presented at annual club party include:  most miles, most flat tires with picture and bent wheel spirit award
- Trail maintenance will be the second Saturday of each month from 9am to 11am

- Complaint of spam e-mails to club officers.  Mike added CAPTCHA for manual text box entry and this cleared up spam
- Joomla update to website:  version 3.8.6
- Online membership delivery problem was fixed by changing website e-mail server client
- Touring and President’s Reports updated to website

- Kent and Anne Ellis will help Phil Snider with routes
- There will be no t-shirts sold this year, but next year an on-site designer/printer t-shirt is being researched
- Hickory M.S. and Churubusco parking pavilion is reserved.  The Busco SAG will be at the new pavilion
- The Festival Tour secured official status as an event of the Three Rivers Festival

* Preliminary research on potential acquisition of new Timing System
- Scott Tomsits is researching a cost effective timing device for club purchase to be used at club race events.  This will include some form of chip and attached device per rider.

3. Constitutional By-Laws Amendment Proposal - Intellectual Property
•   Proposed Bylaw 1.7 reviewed. Steve Pequignot distributed hard copies of proposed bylaw language drawn up by Steve and Scott Tomsits, which was then discussed by all in attendance. The bylaw was agreed to after minor revisions, and will be included in a future club newsletter, after which it will be voted on in a future club meeting per club constitution guidelines (April newsletter, May club meeting.)

Bylaw 1.7 language:  “Use of Club Intellectual Property, Name, Logo, Trade Marks, Reproductions:  No individual, group, firm, organization, company, incorporated or not, may use the name, logo, likeness or any other intellectual property of the club without the expressed written permission of Three Rivers Velo Sport, Inc.  Application for such use must be presented to the Board of Directors via U.S. Mail, at the club’s registered P.O. Box or personally at a monthly club meeting.  The application must include specific details such as how the intellectual property is to be marketed, who benefits from the proceeds; the intended price per unit of each item, along with the complete product item.  If the application is approved by the Board of Directors, the applicant must enter into a marketing agreement with Three Rivers Velo Sport, Inc. prior to marketing the intended product.”

•   Festival Tour Update - Start Location and SAG stop for proposed changes to the 2018 Festival Tour were not available, so Festival Tour remains unchanged this year (start at Hickory Center School with SAG in Churubusco), while looking into possible revisions in 2019. The president will appoint a 2019 tour committee to redesign locations and course.  The officers decided to change the pricing for the Festival Tour:  $25 for adults, $15 for kids under 15 and $15 for club members.  There will be no early bird pricing

•   The annual Christmas Party:  Due to policy changes at Sweetwater Sound, there will be no December party.  Patrick called other venues for availability and found prime December dates where reserved.  Club officers and members discussed dates and venues and arrived at a compromise of January 2019.  January fits the racing director’s timeline as awards for cyclocross cannot be determined until the season’s December ending.  Also, re-formatting of the evening’s agenda was discussed to streamline and speed up activates.  * Post meeting update:  January 18, 2019 has been secured at Sweetwater for the club party.

3. Festival Tour New Route Proposal
•   Anne & Kent Ellis presented route proposal for revised Festival Tour with starting point at Sweetwater and loops from a primary SAG stop at Morsches Park in Columbia City.
•   Further exploration of changing the Festival Tour for 2018 was approved, to be discussed more at later meetings.
•   Post meeting note:  Sweetwater is not available on Sundays and Morsches Park was booked for Sunday, July 15th

2. Election of Club Officers
•   President called for additional nominations. Joe Bartels nominated Dave McComb for the Racing Director post. Dave accepted the nomination and elected by majority vote. All other officers as listed below were re-elected to their positions.
•   Following the election of club officers, Steve Pequignot was voted to position of Vice President by the officers.

•   Triple Century Awards and leftover awards from the year-end party were awarded to members in attendance.

•   1st Tour of 2018 touring season will be Sunday, April 8 @ 12pm from Woodlan HS. Route will be WLN3

Mona Will, Publicity
•   Journal-Gazette coverage, including National Bike Challenge top finishers in state, cyclists braving cold weather, and Chilly Challenge coverage

Randy Rozewicz, Off-Road
•   Inspired by year-end party, Randy intends to develop off-road awards for 2018
•   Monday Night rides at 6:30pm still ongoing - frozen ground means riding
•   Cross country skiing will replace off-road cycling if / when weather dictates

Amy Copeland, Membership
•   Year-end stats: 360 total members: 188 individual / 172 family
•   2018 membership so far: 163 total members: 67 individual / 94 family

Scott Tomsits, Newsletter
•   Mid-December newsletter was sent.
•   January newsletter in process

Dave McComb, Racing
•   Summit City Bicycles Zwift League enjoying participation from quite a few 3RVS members:  3RVS Zwift team?
•   Tuesday Night race practice is schedule for 2018 - rotating site
•   Time Trial series leader, date and times in transition for 2018
•   Dave starting to consider developing possible road race to take place sometime in the 2018 season

5. Additional Items of Interest
•   Chilly Challenge Wrap-up - coldest in recent memory: 5 degrees.  50 participants; $68.67 in expenses and $37 in donations; 12 pots of chili. Great local TV coverage by WPTA.  12 miles was the longest ride.
•   Year-end Party Wrap-up
o   135 people in attendance
•   3RVS Merchandise Licensing - draft of potential bylaw will be presented at future meeting
•   Festival Tour date set for Sunday, July 15th
•   USA Cycling Membership - motion seconded and passed to pay $200 for 3RVS to be member of USA Cycling
•   First Aid Presentation - offered by Andy Grote
•   Joe Stull feedback - Steve Pequignot relayed feedback from Joe Stull who, while recovering from a cycling accident, was hospitalized for an extended period of time. During his hospitalization he was not visited by any 3RVS members other than Fort Wayne Outfitter team members, and was disappointed by the apparent lack of support. The club agreed to further discuss at a future meeting better ways to provide support for recovering cyclists who want it.
