Patrick, Meeting called to order with welcome to guest and members.

-Minutes presented for meeting of October 2, 2014. Motion to accept minutes Jane, second by Patrick. Vote carried minutes accepted.

-Treasurers report by Hugh. Explained debits and credits. Totals include Franke project $1,302.82, Jerseys -$1183.90 Jersey Bins -$130.00. Debts include pay for 6 months get 1 free (7 month) rental fee for storage locker. Jersey ride expenses. Credits include insurance refund for dropped coverage on Huntington Challenge / tour, Franke trails, and reduced participation / riders in Festival tour.

-Touring report by Steve. Touring director provided a total of 55 weekend rides for the 2014 season. The average riders were 21.1 per event with a total of 2403 riders. Special events included Ronald McDonald House tour, Fort 4 Fitness tour, Three Rivers Festival tour, and Huntington Challenge and Jersey Ride. Add to the above are the many weekday tours offered by touring. A suggestion to Steve from a member was a tour that a tour bus would be rented and drive riders out 100 miles into the wind. Riders would then travel back to Fort Wayne with a full tail wind. Many ideas were discussed and the idea will be considered while planning the 2015 season. Steve put forward another idea: a double century ride was discussed with an overnight stay.  This too, will also be considered at a later date.  Opening day 2015 is scheduled for Saturday April 11th. The club will be assisting with the Ronald McDonald tour. Patrick has asked organizers for the event to attend a club meeting to share ideas and expectations. Fort 4 Fitness has also extended an invitation to the club for involvement in the 2015 spring tour.

-Off Road report by Phil. Continue urban gravel road and off road exploration. Phil expressed concern with the up-keep of the Franke trail system and suggested assisting with funds that are set aside for this project. Discussion followed. Patrick suggested the club allow NITRO and Parks Department to follow through with plans they have in mind with the trails. If the club is asked for assistance at a later date the funds could be available if responsibility for Franke trails upkeep wanes with the current NITRO / Parks relationship. Patrick thanked Phil for his continued support and the many years the off road group invested in the trail.
-Newsletter report by Kathy. Reminders will be sent out for “End of year party”, Christmas Light ride, and Membership renewal reminder.

-Membership report by Jane. Renewals for 2015 have started to arrive. Jane reminds all members of the importance of renewing to assure insurance coverage. Membership numbers are 140 family and 162 individuals for a total of 302 members.

-Publicity report by Wendy (prior to meeting start due to pressing matter) Wendy reports the A-frame poster boards are progressing. The art work will be finished soon and shared with officers for final approval.
-Racing report from Jerry as reported by Kathy. Gary Painter is asking for the clubs commitment for the 2015 Colavita time trial series. Patrick moved that once further information is obtained about the 2015 race season, a final commitment will be discussed and voted upon.  * Post meeting note:  Colavita announced in late November that they will not have a 2015 race season.

-Webmaster. Mike continues to monitor and update web site. Meeting minutes, news, and events are added as part of the updates. Patrick extended appreciation for Mike’s ever diligent work with the club website.

Additional Items of Interest
-End of year party plans are underway. December 5th is the date with refreshments same as last year. Dawn Riche will present a state of the trails address and update trail news. Membership renewal will be accepted at the party.

-January meeting. Patrick made a motion to move the meeting to January 8th with the first Thursday being New Year’s Day. Motion carried.

-A presentation for a Chilly Challenge sponsorship did not materialize as expected.  The speaker cancelled and possible sponsorship is in doubt.

- Steve brought forth a concern about club meetings on Facebook.  October’s minutes created a Facebook thread that, at times, became “too personal” for the public sphere.   After extensive discussion, it is the desire of the officers present to utilize this media to keep the membership and perspective members informed of meeting topics and reports.  Officers expressed the desire to see to members wishes.  When not present at meetings officers can still obtain feedback on decisions made at meetings. However, the officers directed Patrick to delete any comments that may be offensive.  Officers extend an invitation and welcome members to attend meetings to assure all wishes and desires are discussed.
-Meeting adjourned 8:55 pm.

Meeting called to order and welcome to guest and members.

President’s Report – Team No Limit Racing requested to hang fliers at the Festival Tour to promote the charity tour “Bike to Build” on August 9th.  The charity donations benefit the building of an orphanage in Haiti for orphans that have lost both parents.  Club members approved the fliers with the stipulation that no more than 2 at registration and 2 at the SAG and No Limit Racing must remove the fliers by the end of the day.

Finance Report – Activity highlights included revenues of 3RVS jersey sales:  $240; $140 in memberships; $129 Active.com for Festival Tour and expenditures:  $34 insurance premium.  Currently, 3RVS jersey balance holds (-) $1,543 and the Franke Park Trail Fund is $942.72.  Insurance update:  Questionnaire filled out and sent back to insurance company for 2015 premium.  Confirmation received.  Application for medical coverage sent to club.  7/10/2014 update:  Application has been filled out and sent with premium check.

Touring Report – July and August weekend touring rides will start at 9am.  Steve has offered to map “Bike to Build” route for charity tour on August 9th.  After deliberation, the club decided to add verbiage connecting 3RVS with the map.  On the map Steve will add, “Map creation courtesy of Three Rivers Velo Sport, Northeast Indiana’s premiere cycling club since 1969”.
- Jim Reilly and Rick Bokern will be ride leaders for absent Steve Pequignot on July 12th tour.  They will ride the Festival Tour route as a pre-tour check for any last minute details.
- Huntington Challenge update:  The committee has not met in person, but board members have been in contact with each other.  Changes have been proposed to finish line, challenge format, and timing riders.  A suggestion has been put forth to change the format to a team time trial with chip timing; however, this will be determined at a later date.  The Challenge is set for Saturday, September 20th.  Steve also confirmed that the Huntington Challenge committee has received our offer of $500 sponsorship in lieu of insurance coverage.  3RVS is planning on participating in the Challenge and Steve will be taking applications for riders that are interested in “trying out” for a place on a team(s).  Steve will have further details in the August Quick Release newsletter and on 3RVS’ Facebook page.

Off-Road Report – Change in Franke Park Trials responsibility has interrupted the 3RVS work schedule, which has been suspended.  Phil has met with NITRO to partner with maintenance of the trails; however, NITRO has yet to have a formal agreement with the Parks Department.  Club members at the meeting felt 3RVS should wait until NITRO and Parks have a formal agreement before offering help or a partnership.  In the meantime, the trails have fallen into neglect with the summer growing season.  Also, a recent storm fell large branches across a section, blocking a portion of the trail.  Phil, on his own, sprayed for Poison Ivy and cleared some over-growth.

Newsletter Report – Kathy thanked Steve and Patrick for their continuing contributions.  She noted that the newsletter doesn’t always go out on an exact time due to her work schedule and the hours needed to put the monthly online newsletter together.  She thanks all club members for their patience.

Membership – Jane reported 277 members as of July 3rd, 132 family members and 145 individual members.  Jane also requests that members please write their e-mail address on the membership application in a legible manner.  Electronic connection with members is vital to communication within the club.

Racing Report – Club member Gary Painter set the national record for 40k time trial in the Masters category at a California race.  Gary is the current, two-time, Masters Time Trial champion and is in training to defend his title later this summer.  The July Tuesday night race schedule is on the club website.

Website Report – Mike e-mailed that he has updated the website with current information.

Tour Festival Update – Jo and Mike Senk will be in charge of the SAG stop.  Jim Reilly is in charge of the moving SAGs.  Kathy Boling has ordered the t-shirts.  25 volunteers have committed, but Luis says there is always a need for more help.  As of July 3rd, 54 have pre-registered.  There will be no coupons or SWAG at registration.

Camping Tour Update – Jim Reilly is in need of 1 or 2 additional ride leaders (pace options).  Amy Copeland, Jim and Bill Lambert are the current ride leaders.  The waiver will be updated and ready for signing before the start of the tour.

Meeting adjourned at 8:55pm

-Touring report by Steve.  June weekend start time is 10:00 am and will be moved to 9:00 for July.  The Huntington challenge was discussed and a vote was needed to assure proper planning time. After discussing liability concerns with previous events, members decided it would be in the best interests of the club not to provide insurance coverage this year.  Because of the club’s past participation in the event, members present wished to continue to sponsor the event.  Phil made a motion to commit $750 to $1,000 matching last year expenses. After further discussion the commitment was reduced to $500.00.  Phil agreed Patrick seconded the motion carried with all vote from members.  Steve will approach Huntington Challenge committee to determine if sponsorship offer is accepted.

-Off road report by Phil. Phil read a letter sent by the Fort Wayne Parks department terminating the relationship with 3 Rivers Velo Sport and the Fort Wayne Parks Department  over the Franke Park trail system built by Phil and the dedicated group of off-road riders.  The parks dept. terminated the Memorandum of Understanding (MOU) contract due to expire in 2015 and has moved the contract to the NITRO club. No parks department member was present at the club meeting to answer or justify this decision.  Phil reported his attendance at the NITRO club meeting and their surprise in this turn of events. Phil expressed his desire to complete projects already underway. Officers and members, while very grateful for Phil’s commitment to this project and the many hours, days, months and years spent developing the trail system, expressed concern of legal action if 3RVS members continued work on the trail system. A sincere disappointment in the Fort Wayne Parks Department was expressed by members and officers in the manner this announcement was handled.  Patrick explained his thoughts concerning the termination.  No club funds will be spent on Franke Trails until further notice.
